Contract-to-Hire
Pay Range: $14-18/hr
Schedule: Monday-Friday, 7 am- 4 pm
 

Job Description:

The Operations and Customer Support Associate has a pivotal role responsible for overseeing the day-to-day administrative operations of the business, with a strong focus on providing high-touch customer service. This position involves managing administrative tasks, troubleshooting technical issues, and actively participating in ensuring a smooth and efficient office environment.

Duties:

  • Oversee and manage all administrative operations with a strong emphasis on delivering high-touch customer service.
  • Compile, sort, and verify the accuracy of data before entry.
  • Assist with invoice processing and data entry for financial support.
  • Coordinate ordering and delivery of supplies to maintain an organized and efficient office.
  • Organize electronic files and store completed documents appropriately.
  • Obtain technical support, troubleshoot, and resolve issues promptly with WMS Vendor and general office tech support specialists.
  • Manage office equipment records and service contracts.
  • Respond to customer, carrier, and supplier requests promptly, ensuring a superior customer experience.
  • Assist in service, inventory, and traffic/transportation support, addressing customer inquiries and needs.
  • Utilize research skills to locate customers and provide personalized support.
  • Maintain regular communication with supervisors and serve as a point of contact for customer inquiries.
  • Provide administrative support to staff and carriers, including calendar management, travel arrangements, and general office tasks.
  • Ability to document processes, and potentially develop and implement office policies and procedures to enhance efficiency and organization.

Lines of Communication:

This role reports primarily to the General Manager, while having some duties as assigned by the Finance Manager.
 

Qualifications and Requirements:

  • Associate’s degree or equivalent experience in a related field.
  • Mid to high level proficiency in Microsoft Office (Word, Excel, Outlook) and some knowledge of QuickBooks/QBO.
  • Strong problem-solving and customer service skills with an emphasis on delivering exceptional service.
  • Ability to work independently and collaboratively within a team both on and offsite.
  • Excellent multitasking and prioritization skills.
  • Strong time management skills and attention to detail.
  • Proficiency in research to locate customers and address their unique needs.
  • Effective written and oral communication skills for documenting contacts and interacting professionally with customers and colleagues.
  • Exceptional customer service skills to ensure high quality customer satisfaction and skillfully resolve discrepancies.
  • Fluency in both English and Spanish is strongly preferred
