Medical Office Manager

East Windsor, New Jersey · Healthcare

Do you have a talent for keeping healthcare operations running smoothly and efficiently? We’re looking for a dynamic and experienced Medical Office Manager to lead the daily administrative and operational functions of our fast-paced medical practice. In this full-time, hands-on role, you'll play a key part in supporting both patients and staff by ensuring the office runs effectively, compliantly, and with a high standard of care.


Direct Hire
Pay Rate: DoE
Schedule: Monday-Friday, 9 am – 5 pm
 

Key Responsibilities:

  • Oversee daily office operations including appointment reviews, insurance validations, and precertifications
  • Supervise front and back-office staff; monitor workflow and task completion
  • Manage all HR responsibilities: interviewing, hiring, training, evaluating, and scheduling staff
  • Maintain compliance with HIPAA, OSHA, and labor law posting requirements
  • Serve as point of contact for IT and facility-related issues; coordinate with vendors as needed
  • Maintain office and marketing supply inventory; handle procurement
  • Open, scan, and distribute daily mail; manage phone inquiries and faxes
  • Oversee billing processes, collections, and office expenses
  • Ensure provider credentials are current and properly documented
  • Resolve patient issues, handle complaints, and fill in staffing gaps when needed
  • Develop and implement office policies and procedures to enhance efficiency
  • Assistant to the physicians and other providers
  • May require occasional visits to another office location
 

Qualifications:

  • Associate's or Bachelor's degree in Health Administration, Business Administration, Healthcare Management or a related field 
  • Minimum of 3 years of experience in medical office management
  • Experience with eClinicalWorks (Preferred)
  • Background as a medical biller or similar patient-facing role (Preferred)
  • Proven leadership and team supervision experience in a healthcare setting
  • Excellent organizational, problem-solving, and multitasking skills
  • Strong working knowledge of healthcare compliance and office technologies
  • Certification in office management or administrative support a plus
  • Must be able to make occasional visits to another office location.
