We are looking for a dependable and organized Assistant Office Manager / Clinical Supervisor to help oversee both the front and back office of our client’s medical practice in East Brunswick, NJ08816. In this role, you’ll support daily operations, supervise Medical Assistants, assist with patient care, and ensure everything runs smoothly for staff and patients. Job Summary The Assistant Office Manager /Clinical Supervisor is responsible for performing and overseeing both administrative and clinical tasks to ensure the smooth daily operation of a medical practice. This position provides support across departments, supervises and directs Medical Assistants, assists physicians and office staff, manages workflow, and ensures quality patient care and confidentiality. The role requires strong organizational skills, effective communication, and the ability to balance administrative duties with hands-on patient and clinical responsibilities.
Responsibilities
Adhere to and support the mission, vision, values, goals, philosophy, objectives, policies, and procedures of the practice.
Supervise, manage, and oversee the workflow of two or more Medical Assistants; provide training, direction, and corrective action when necessary.
Assist the Office Manager with administrative requests and provide support across departments as needed.
Exhibit professional interpersonal and interdepartmental relations:
Demonstrate reassurance and support to patients and families; explain actions, waiting area procedures, and communication protocols.
Communicate respectfully and effectively with staff, avoiding conflicts and utilizing proper channels.
Ensure skillful, accurate, and organized performance of all assignments, including:
Transporting and positioning patients safely using proper body mechanics.
Assisting physicians and staff in examination and procedure rooms.
Expediting room turnover and anticipating team member needs in procedure/recovery rooms.
Updating and maintaining accurate patient information in the EHR/EMR system.
Handling disability paperwork and narrative report requests with the treating physician.
Maintain a clean, safe, and well-stocked environment by checking, ordering, and restocking supplies regularly.
Serve as a liaison between clinical and administrative departments to ensure efficient workflow.
Protect patient and office confidentiality, exercising discretion and sound judgment at all times.
Attend required staff meetings, in-service trainings, and remain up to date with office communications.

Physical Demands and Working Conditions
Visual acuity for chart review and equipment operation.
Ability to lift up to 100 pounds with assistance and 50 pounds without assistance.
Frequent stooping, pushing, pulling, and positioning of patients.
Ability to function in both office and clinical environments.
Work Relationships
Reports directly to the Practice Administrator, Medical Director, and/or Office Manager.
Collaborates with physicians, medical assistants, and all office staff to maintain smooth operations.
Qualifications
High school diploma required; Bachelor’s degree preferred.
On-the-job training and/or prior medical office experience required.
Knowledge of EMR/EHR systems (EclinicalWorks preferred).
Ability to balance administrative and clinical responsibilities effectively.
