Contract-to-Hire
Pay Rate: $24/hr

Schedule: Monday - Friday – 9 am-5 pm


Job Purpose:
A leading company in the chemical sector attributes its success to its people and processes. They are seeking an outstanding administrative assistant to support these vital components. The perfect candidate will be a skilled problem solver with excellent communication abilities and a keen eye for detail. Experience in an office environment, performing administrative duties, and assisting team members is essential. The role requires adept multitasking, effective schedule management, and the flexibility to handle evolving deadlines.

Major Accountabilities:
  • Serve as the eyes and ears of the office, providing information, answering questions, and responding to requests
  • Ensure optimal use of office equipment, supplies, and inventories through preventive maintenance
  • Maintain workflow by analyzing and refining standard operating procedures, such as scheduling, communications, and office layout
  • Coordinate internal and external resources to expedite workflow
  • Oversee and achieve organizational goals while upholding best practices
  • Provide front-desk coverage by managing a busy, multiline phone system, greeting guests as they enter the office, managing incoming/outgoing mail and shipments, and maintaining an organized, clean office environment
  • Provide administrative support to V.P. New Business development and the Team, including email correspondence and generation and distribution of memos, letters, spreadsheets, forms, and faxes
  • Plan, organize, and schedule company meetings in the office, off-site, and via video conference
  • Coordinate domestic and international travel arrangements for employees
  • Maintain filing system, contact database, employee list, and inventory
  • Order and oversee office supplies and food deliveries for group meetings

Requirements:
  • High school diploma or equivalent
  • Minimum of 4 years administrative experience
  • Previous success in office management
  • Experience managing budgets and expenses
  • Experience developing internal processes and filing systems
  • Comfortable handling confidential information
  • Superb written and verbal communication skills
  • Strong time-management skills and multitasking ability
  • Aptitude for learning new software and systems
  • Fluent English/Portuguese is desirable
